Check Out This Social Media Use Checklist

  Social media rules! In recent studies, Twitter, Facebook, and Tumblr users sent tens of millions of messages every day– and new players keep entering the marketplace. Although these platforms provide significant benefits for businesses of all sizes, they also pose a variety of risks. Everything from employment, privacy and security, through intellectual property to media-related liability. Chances are your employees are using social media, either at home or work, in ways that could put your business at risk. To limit this exposure, experts recommend creating social media guidelines based on a five-point checklist:
  1. Assess both your company’s general social media activities and individual social media campaigns, weighing potential risks against benefits as accurately as possible.
  2. Designate specific individuals and departments to develop, execute, and monitor a comprehensive and proactive social media strategy – and make a senior executive responsible for implementing it in a timely fashion.
  3. Have the policy reviewed by the relevant departments (human resources, IT, communications, and legal) and by an outside law firm.
  4. Because employees pose the biggest risk to a company, although often unwittingly,,provide educational programs about the danger of damage to the company by using social media on the job or at home.
  5. Create a social media agreement for employees to review and sign as a condition of employment and part of their employment contract. Update the agreement annually, or as often as needed, to address changes in social media that might impact your risk in new ways.

Editor’s Column: Managing Is A Balancing Act

I remember my wife and I going to a parenting class and learning the mantra, “firm, but fair.” It's okay to have clear rules in your household and enforce them; however, you want to do so in a fair manner. When we’re clear about the rules, we can be firm. . I'm sure you've shared my personal experience where parents or bosses have punished you for rules you never knew existed –until after you were punished for them!Often, the knowledge is so “commonsensical” to the parent or boss that they just assume the child or the employee know it also. Never mind that it took 20 years for that boss or parent to finally “get it” themselves. When we’re clear on the rules, there’s predictability. There’s integrity. There’s consistency. The rules don't change overnight based on emotions. When we’re out of balance on the side of clarity we’ll see people begin to fear us, rebel against us, and leave us – not a good outcome at home or work! When it comes to being fair, the first thing to remember is that life wasn't designed to be fair, either at work or at home. Life was designed to be a learning lesson. However, fairness has become the filter of today's workplace. Everyone wants to feel they're being treated fairly. ‘A fair day’s pay for a fair day’s work.’ Of course, what might seem fair to me could seem onerous to you. We treat people fairly when we follow the Golden Rule. By asking how we can serve and help others, practicing kindness and compassion despite any differences we may encounter along the way. We understand to separate the conduct from the person. Managers will continue to struggle with employees about work hours, compensation, communication, expectations, safety, insubordination, conflict, and more. Great managers, like great parents, strike the appropriate balance between firm and fair.

Construction Safety: The 'Correction Conversation'

Safety inspectors know what to look for - but they might need a refresher on holding the "correction conversation": explaining job hazards in such a way that your workers can see the potential danger, understand how it can hurt them, and suggest how to eliminate it. To have an effective Correction Conversation, we'd recommend that safety inspectors follow these guidelines:
  • Try to make it personal. "Kneeling on the floor for the day is going to turn your knees into jelly in a few years."
  • Tie the hazardous activity or condition to pain. "This night watchman dropped his flashlight, and when he bent down to pick it up, the rebar went right through his eye."
  • Make comparisons. These cable clamps might work, but the fist-grips kind are the ones that should be used. See - they look like two fists gripping."
  • Shift the blame. "I'm not sure who set this up, but because those cable clamps are upside down they won't hold much. Just flip them over and torque them again."
  • Connect the correction to something the workers can share. Pass along additional information. Keep it simple, and use graphics whenever possible, If the concern is not having an eyewash station near a concrete pour, send a photo of a what a worker's eye looks like after a concrete burn.
  • Share a story. "I can beat that!" This phrase continues conversation in bars across the world. Tell a workplace hazard anecdote that you've heard or witnessed - and then stop talking! Chances are another worker will share a similar story. One-upmanship is a skill we all enjoy, and helps keeps a good Correction Conversation alive.

In one of my favorite new age books, The Alchemist, author Paulo Coelho discusses four obstacles to realizing the journey towards our Personal Legend:

  1. The first obstacle is resignation to failure. We're told from childhood onward that everything we want to do is impossible. In many cases, we're the ones telling ourselves this - and we believe it!
  2. The second obstacle is misunderstood love. Says Coelho, "We know what we want to do, but are afraid of hurting those around us by abandoning everything in order to pursue our dream." In a sense, we're afraid to change because the people around us might not love us as much if we do. For example, they might view us as a threat, mirror our own inadequacies, or break away from the norm or culture. Coelho encourages us to accept that love is a stimulus; that the people who truly love us want the best for us: to be worthy of the miracle of life.
  3. The third obstacle is the fear of failure. According to Coelho, "We warriors of light must be prepared to have patience in difficult times and to know that the Universe is conspiring in our favor, even though we might not understand how." In my personal experience, when we follow our passions we get what we ask for - just not when or how we expect it. There is no journey without roadblocks, setbacks, and challenges. This is what strengthens us. Our character is no different than our muscles: You use it or you lose it.
  4. Finally, there's the obstacle of self-sabotage. As Oscar Wilde said: "Each man kills the thing he loves." According to Coelho, the mere possibility of getting what we want fills our souls with guilt. We ask ourselves, "Who am I to be so fortunate when there are so many people in pain? Do I somehow think that I'm now better than other people because of my success?' The ancient Greek term was hubris. When we become too full of ourselves and our accomplishments, the end is near. That's why the journey is never about arriving, but traveling forever. Says Coelho, "I've known a lot of people who, when their personal calling was within their grasp, went on to commit a series of stupid mistakes and never reach their goal - when it was only a step away." I know many of those people too.

When you think about your career, where have these obstacles shown up? Where do you have personal doubts about your ability to accomplish your Personal Legend? Who or what is attempting to hold you back from meeting these goals - or is this a story of your own making? Are you willing to accept that the journey toward success is guaranteed to come with more suffering than for those who are willing to simply be comfortable? Finally, are you willing to find joy in your success without the need to sabotage it?

Pop quiz time. What's more secure; financial records locked in a filing cabinet or financial records stored in the cloud? If you don't understand how cloud security works, you probably said the filing cabinet. It's time for a little mythbusting about how secure your paperless office could be. Last week, Cindy Bates posted on the Microsoft SMB Blog about the benefits of a completely paperless office. Like Delta Airlines, who recently switched to the paperless cockpit, it's possible for any office or organization to ditch the dead trees and move entirely into the digital space. One of the first questions decision makers ask when considering the paperless office is "how secure is this?" It's a fair question, so let's consider Delta's paperless cockpit example and overall data security. The problem with paper is that, well, it's paper. Paper gets lost, it burns, it can be misfiled and disappear. It's only as secure as its physical location. If that location is a locked filing cabinet (or a vault under Fort Knox), if someone really wanted to get to it, they could. A file in the cloud cannot burn, be stolen, accidentally left behind in a restroom, or any other number of things that could affect a hard copy of important information. For a recent example, take a look at the Internet Archive, whose scanning facility in San Francisco caught fire. Although no data was stored in their San Francisco office, if it had been, cloud redundancies would have prevented any loss. But what about a data center, such as what powers Windows Azure or Office 365? Let's start with physical security: data centers are monitored 24 hours a day, 365 days a year. A team of ninjas could, in theory, break in, but they'd still have to know which of the thousand machines contained your exact data—so unless you've upset the cast of Ocean's 11, it's significantly less likely than an office fire that could destroy physical data. In addition, with Office 365, data transmitted across networks is encrypted—so if some agency (or other villain) happens to tap the wires, they still won't be able to read your files. While a move to a paperless office does not entirely guarantee data security—there are still those ninjas to think about—it is significantly more secure than leaving your information in paper form, where it could be destroyed or stolen with greater ease. It's just one more reason to go paperless.

As the average cost of getting hitched keeps rising (to $27,000 in 2012), more and more couples are using Wedding Insurance to protect their investment against mishap - and help ensure peace of mind on this special day.

Wedding policies will reimburse you for losses due to:
  • Weather: The cost of rescheduling if the event has to be postponed because of rain or other bad weather.
  • Illness or injury to the bridal party. The expenses of postponing the wedding if essential people (such as the maid of honor or best man) can't be there.
  • A missing celebrant. Some of the costs if your minister, justice of the peace, rabbi, or other celebrant doesn't show up.

You can also buy coverage "riders" for a variety of other risks, ranging from a military service call-up to the bride or groom and damage to a wedding gown or tuxedo, to stolen or damaged gifts, and cancellation of your honeymoon due to illness, bad weather, or other mishap. If you're holding the ceremony in your home, you might also want Liability insurance in case a guest gets hurt or injures someone. 11 Ways To Help Your WorkersS Manage Stress

4 You can't eliminate the stress that your employees bring to work - but you can offer them these guidelines to help manage workplace stressors on their own:
  1. Prioritize, streamline, delegate, and discard. When facing a task, ask if it's really necessary to do immediately.
  2. Break things up. Take two - to three - minute breaks every hour and commit to doing at least one fun thing every day.
  3. Make time. Build time into your schedule for creative expression, healthy eating, moderate daily exercise, hanging out with friends, and enjoying nature.
  4. Be on time. Build in cushion time between appointments to allow for traffic and the unexpected.
  5. Send negativity flying. If a co-worker is on the warpath, visualize an airplane with an ad banner over the person's head, with each negative word floating up into the banner and out of view.
  6. Relax and watch what happens. Do mini-meditations or mindful breathing while you're between tasks or in line at the cafeteria.
  7. Get essential nutrients. Go beyond vitamins and begin to think about daylight and laughter as integral parts of your daily life.
  8. Consider what you're consuming. Sugar, caffeine, and alcohol can increase stress levels.
  9. Watch your words. Don't let negative internal chatter and self-recrimination distract and demoralize you.
  10. Be kindDo something nice for a different co-worker every day until it becomes second nature to reduce stress for others.
  11. Sleep on it. Sleep deprivation a major culprit in stress is Try to get restful, restorative slumber every night, and watch your stress level decline.

Risk Management: Keep Safety In The Forefront

Once employees have gone through safety training, make sure that they use what they've learned. When every worker knows and chooses the safe way on a daily basis, you'll have a workplace with less chance of accidents and injuries.

This four-step approach to job safety will pay dividends:

  1. Team up to solve problems and improve safety. Create employee teams in every department to gather information on potential hazards, analyze problems, develop and test solutions, and implement and monitor results. Being part of a team makes workers feel that they share responsibility, which keeps your safety message top of mind.
  2. Talk up safety every day. Update employees on information that affects their safety. Provide ongoing feedback, praising safe performance, correcting unsafe behavior, and pointing out areas for improvement. Make sure that communication flows both ways. Urge workers to offer suggestions, identify problems, and pose questions - for example, through a safety suggestion system.
  3. Encourage employees to become hazard detectives — and reporters. Make every worker responsible for finding hazards. Create an effective system for reporting problems, and respond promptly to correct hazards that employees identify. This is harder than it sounds because it means that management has to listen when workers discuss safety concerns.
  4. Create a "want-to" safety culture. Encourage your workers to do the safe thing, not because they have to, but because they want to avoid injuries. Remind them of how many safety-related decisions they make every day - and how one bad decision is all it takes to get hurt.
