One of the downsides to communicating effectively over the internet is the difficulty conveying what you see. This is especially important in support situations where you need to show someone what unexpected behavior a website or program is giving you. Windows 7 and Vista both include a very handy app called “Snipping Tool” that can help you accomplish this. It is located under Start > All Programs > Accessories or you can just tap the Windows key on your keyboard and type “snip” and it will be one of the top choices. This simple app will help you select a portion of your screen, add a simple drawing to it, or even highlight a specific portion of text that you think is important. It also gives you the ability to create a new email message directly inside of the snipping tool to send your screen clipping; you just have to have an email program installed. You can also save the picture and upload it to a website. When it comes to describing what you see, a picture is worth a thousand words!

Can anyone recommend a program that will track/assist in quoting? Meaning, enter basic information and the program will track the quote, from start to finish, "Unsubmitted (Pending additional Info), "Submitted", "Quote Received", "Proposal Sent". With the information entered, it will prepare a proposal and e-mail to your customer, it will also remind you of various "to do's" like, "Your quote has been out for 2 days, call client and see if they want to bind" Quote bound, get binder". </br> </br>I used one years ago with an Independent Agency I worked for, I just can't remember the name of it.

Reminders – Reminders are a great way to get things done in a busy environment, and Outlook allows for a couple ways to set them. You can easily set a reminder based on an email by right clicking on it and selecting “Follow Up” in the pop-up context menu. You can also create a task if there is something that needs a reminder that isn’t email based; just remember to set a due date if you want a reminder. Spell Check – Outlook by default has spell checking turned on, but spelling is an important part of a professional image and you shouldn’t let mistakes slip by you when you miss the squiggle red line. To ensure that every message is properly spell checked in Outlook 2010 click File > Mail > and put a check next to “Always check spelling before sending.” Now it’s almost impossible to make an embarrassing mistake! Related Messages – Sometimes your Inbox can get so full that it’s difficult to find the right message, especially when following up on previous conversations. Outlook has an easy way to search through all the messages to find the one you were looking for. Just right click on the message and choose the option, “Find Related.” This can be used to either find messages sent by the selected sender or to find messages with related content and subject. This feature can be a life saver when trying to find a particular message quickly. Delete Forever – Some emails shouldn’t stick around the inbox, and I’m not going to go into specifics about which ones they are. Regardless of the reasons, if you need to delete something permanently you can use a quick keyboard shortcut after you have selected the message with your mouse. Just press and hold the shift button while you push the delete key on your keyboard. Warning – there is no easy way to get the message back, and it might not even be possible depending on your email setup, so use Shift+Delete carefully! Undelete – If you deleted something (but not with the delete forever method) and you want it back quickly you can just use the default windows shortcut for undo “Ctrl+Z”. This will undo your most recent action whether it was deleting a message or recovering the last sentence you typed before deciding it wasn’t up to par, and then realized it was the best part of the message. This shortcut can be used in just about any application on your computer.
