SAMPLE JOB DESCRIPTION: COMMERCIAL CSR

Every position in the agency should have a written job description.

An ideal job description contains the following elements:

1. Position title

2. Department to which the position is assigned

3. Job classification assignment (tied to salary ranges)

4. Job objective, which outlines whom the person reports to and the goal of the job

5. Duties

6. Authority that goes with the job

7. Performance-measurement criteria that will be used to evaluate performance

With this information, employees know what is expected of them and what training they need to advance.

The job description becomes part of the performance-evaluation process. A good automation system can measure work and follow-up processing, and compare positions and units that enable agency management to develop standards for work processing. This comparison can be used very effectively in performance evaluation and in correcting unacceptable performance.

Writing job descriptions can be difficult. However, deciding on the jobs to be included and then having all the employees doing each job list the tasks they perform will give you a good start. For example, if you decide to do Commercial CSR job descriptions, all of the Commercial CSRs working on the project together should arrive at a fairly accurate job description.

You may find that many employees duplicate work or perform functions that might better be performed by a lower-paid employee.

Here's a sample job description for a Commercial CSR:

POSITION DESCRIPTION/CHARTER

POSITION: Commercial CSR III

DEPARTMENT: Commercial Lines

CLASSIFICATION: VII

OBJECTIVE: Under the direction of the CSR supervisor, provide Commercial Lines support in obtaining, maintaining, expanding, and servicing accounts and in maintaining excellent relationships between CSRs, producers, and companies.

DUTIES

1. Rate and quote new and renewal Commercial Lines risks as assigned.

2. Screen, place, and process Commercial Lines applications as assigned, and complete applications as needed.

3. Review applications, renewal requests, and endorsements for compliance with underwriting authority and guidelines, as authorized by our companies.

4. Prepare samples of policies, endorsements, binders, and certificates when needed.

5. Assist the producer with new and renewal proposals and coverage summaries.

6. Prepare and authorize ID cards for auto risks when needed.

7. Handle telephone requests and miscellaneous correspondence such as mortgagee requests, certificates, additional insured, and so forth.

8. Process cancellation requests.

9. Rate and compute additional or return premium on endorsements

10. On receipt of company-produced policies and endorsements, review for accuracy, and request corrections when needed.

11. Input and update computer files with any new or renewal endorsement or cancellation type of changes.

12. Be aware of rate, form, coverage, and underwriting changes.

13. Arrange, compute, and prepare premium finance contracts and company financing as needed.

14. Take claim reports as needed.

15. Participate in seminars and classes for skill, knowledge, and professional development. Because the job requires licensing as an agent, maintain continuing-education requirements.

16. Perform other duties as required and assigned.

AUTHORITY

1. Authorize Commercial Lines coverage binding within authority granted by the carrier.

2. Carrier contact as needed.

3. Producer contact as needed or required.

4. Responsibility for maintaining customer files and customer contact as needed.

POSITION DESCRIPTION/PERFORMANCE MEASUREMENT CRITERIA:

Performance criteria to measure my achievement of stated duties should include the following:

1. Timely completion and submission of required reports to my supervisor

2. Adherence and compliance with stated procedures, service standards, personnel policies, and accounting practices

3. Control of expenses within my area of responsibility, so that budget compliance takes place

4. Degree and quality of my professional development

5. Adherence to standards for service performance

6. Adherence with company binding authority guidelines

7. Smooth, efficient, and positive relationships among producers, staff, and companies

8. Maintenance of receivable ratios consistent with stated agency standards
